How to Share Room Admin Duties in PingRoom

Make a trusted member an admin, agree on what they will maintain, test one harmless change, and remove the role when the work ends.

Two PingRoom avatars pass a plain wooden role token across a miniature planning table while Pingo watches.

To share ongoing Room setup with a co-organizer, the Room owner can open Room Settings, choose an existing member, tap Make Admin, and confirm. Then agree on exactly what that person will maintain and test one harmless change together.

PingRoom 1.5.4 lets Room admins edit settings and Quick Pings. The role is useful when someone needs recurring setup or moderation access—not as a courtesy badge for every member.

Decide whether the person needs admin access

Start with the work, not the title. Admin access makes sense when a trusted co-organizer regularly needs to:

  • update the Room’s description or other shared settings;
  • add or revise Quick Pings;
  • send updates under the Room’s current sender policy;
  • remove an ordinary member when moderation requires it.

A member who only needs to receive Pings—or send under the existing Room policy—usually does not need the admin role.

For an illustrative pottery workshop, one co-organizer might own the day-of setup: change Doors open to Side entrance open, keep the collection cue accurate, and remove a volunteer who has finished their shift. That is a concrete responsibility set. “Help with the Room” is not.

Make an existing member an admin

In the current iPhone app:

  1. Open the Room as its owner.
  2. Open Room Settings.
  3. In Members, choose the person who will help manage the Room.
  4. Tap Make Admin.
  5. Read the confirmation and approve the change.

The person must already be a member. If they are not, invite them to the Room first, wait for them to join, then return to the member list.

Only the owner grants or removes the admin role. Making someone an admin is not an ownership transfer.

Know the boundary before the handoff

The useful division is small and explicit:

TaskOwnerAdminMember
Edit shared Room settings and Quick PingsYesYesNo
Send a PingSubject to the Room’s sender policySubject to the Room’s sender policySubject to the Room’s sender policy
Remove an ordinary memberYesYesNo
Grant or remove the admin roleYesNoNo

An admin cannot use the role to remove the Room owner or another admin. Plan limits and Room policies still apply; the role does not add a subscription or bypass a sending rule.

The current App Store notes are the public release evidence for admin editing in version 1.5.4. This guide adds the practical handoff around that shipped capability.

Do a five-minute handoff

Give the new admin one small, reversible task while the owner is present:

  1. Name the responsibility: Keep the arrival Quick Pings accurate on workshop days.
  2. Choose one harmless change: update Doors open to Side entrance open.
  3. Save it and reopen the Room from another device or account.
  4. Check that the revised wording is visible to the intended people.
  5. Change it back after the test if it was only a rehearsal.

Two PingRoom avatars review a row of blank terracotta cue tiles at a workshop side entrance while Pingo supervises from a low stool.

Pingo the Pigeon, our fictional Chief Marketing Officer, is supervising the blank cue tiles with his customary restraint. He is not an admin, cannot approve the role change, and has no access to the Room. The owner and co-organizer remain responsible for the setup.

The handoff should also answer three questions: Which settings may the admin change? Which Quick Pings do they maintain? When should they ask the owner before acting? Write those answers in the team’s normal operating notes, not in a vague Ping.

Remove the role when the work ends

Admin access should follow the job. When an event ends, a volunteer rotates out, or someone no longer maintains the Room:

  1. Open Room Settings as the owner.
  2. Choose the admin in Members.
  3. Tap Remove Admin and confirm.
  4. Review the Room’s settings and shared Quick Ping language.
  5. Decide separately whether the person should remain an ordinary member.

Removing the admin role does not require removing the person from the Room. Those are different decisions: management access can end while useful membership continues.

Give access to the work, then take it back

A good co-organizer setup is observable: one named responsibility, one harmless test, and one review date. Promote the person who needs ongoing setup access, not everyone who might occasionally send an update.

Choose or create the Room in PingRoom Rooms, invite the co-organizer, and test one reversible change before the real event begins.
