How to Send a Custom Ping on iPhone

Write a one-off update in a PingRoom Room, add only the context that belongs with it, and check the result before relying on the workflow.

Two approved PingRoom avatars move a blank entrance marker at a miniature workshop while Pingo waits beside it.

To send a Custom Ping on iPhone, open the Room, choose Custom Ping, write the one-off update, add only the context the recipient needs, then send. Use a saved Quick Ping when the wording repeats; use Custom Ping when the detail changes this time.

PingRoom 1.6 refreshes this composer on iPhone. The current public version requires iOS 17 or later.

Check the Room before you write

You need a Room where your account is allowed to Ping. The available controls depend on the Room and your role:

  • In a private Room, the Room's sender policy decides who can send.
  • In a public Room, a regular subscriber can send plain text only when subscriber sending is enabled. Richer context controls remain with the owner and admins.
  • A visitor's Custom Ping in someone else's Personal Room follows a separate Pro and usage boundary.

If Custom Ping is absent, do not work around the Room's policy by choosing another surface. Ask the owner which update path the Room is meant to use.

Choose Custom Ping only for changing wording

Start with one question: Will this exact wording be useful again?

If yes, make it a Quick Ping so the Room can recognize and reuse it. If no, write a Custom Ping for this moment.

Links, shared places, and ordinary Custom Pings are included on Free. Questions and confirmation requests are free in private Rooms. Photo and file uploads require Pro. Not every context type is available in every Room.

Write and send the Ping

  1. Open PingRoom and choose the destination Room.
  2. Select Custom Ping below the Room's saved Quick Pings.
  3. Choose an emoji that helps identify the update, then write the shortest complete message.
  4. If the recipient needs more than the wording, open the paperclip and choose the relevant context. Save it back to the draft.
  5. Read the message and destination once more, then choose Send Ping.
  6. Check the sent card in the Room. Open History if you need the wider sequence.

The attachment sheet can offer links, Questions, a place, a checklist, and files according to the Room, role, plan, and current product settings. Adding everything makes a Ping harder to scan. Add one kind of context when it removes a real ambiguity.

For the individual controls, use the dedicated guides to attach a checklist, ask a Question from the composer, or understand files that stay with a Ping.

Run one harmless rehearsal

Suppose a workshop normally uses its front entrance, but today's collection point is at the side door. This is an illustrative setup, not a customer story.

Send one Custom Ping:

Pickup moved to the side entrance today.

Before adding context, ask three questions:

  1. Does this repeat? No. Keep it out of the permanent Quick Pings.
  2. Does the recipient need more right now? Add a place only if the two entrances are easy to confuse.
  3. Does that context belong with this Ping? If the entrance has a stable public reference page, a link may be clearer. Do not attach an unrelated file just because the control is available.

Ask one intended recipient to open the Room and describe which entrance they understood. Then check that the sent card contains the wording and only the context you chose. The rehearsal verifies the Room, role, message, and draft on that device at that moment.

Pingo the Pigeon, PingRoom's official mascot and fictional Chief Marketing Officer, is standing beside the blank entrance marker in the illustrations. He did not choose the destination, write the Ping, see the Room, or confirm the handoff. The people using the Room remain responsible for the update.

Treat sent and seen as different facts

A sent Ping becomes part of the Room's record. It does not prove that every recipient saw a banner, read the update, or acted on it. Connectivity, notification permission, Focus, Room settings, battery state, and operating-system behavior still affect what appears on a phone.

Use a Question or confirmation request when the workflow needs a response. Preserve a direct fallback for safety-critical, legal, medical, or urgent operational communication.

If speaking is easier, the separate Siri Custom Ping guide covers voice input and its permission checks. For the ordinary touch workflow, update PingRoom on the App Store, open one low-stakes Room, and run the six-step rehearsal.

Illustrations are AI-generated editorial scenes featuring Pingo, PingRoom's official mascot and fictional Chief Marketing Officer, with fictional approved PingRoom avatars. The workshop handoff is an example, not a customer account or product screen. The human team is responsible for product claims and decisions.
