How to Attach a Checklist to a Ping on iPhone

Add a short checklist to one Ping, let eligible Room recipients mark shared items once, and know when a task manager is the better tool.

Two approved PingRoom avatars arrange three blank checklist tiles at a miniature studio table while Pingo inspects the shared tray.

To attach a checklist to a Ping on iPhone, open a Room, create a custom Ping, choose Checklist in the attachment area, add the few items that belong to this moment, and send. Eligible recipients can open the checklist and mark each shared item once.

Checklist attachments are available in PingRoom 1.6 for iPhone. They work best when one Ping needs a small, visible finish line—not when a project needs assignments, due dates, comments, or a reusable task history.

Before you send one

You need:

  • PingRoom 1.6 or later on iPhone;
  • a Room where you are allowed to send a custom Ping;
  • a short list tied to one event or handoff.

A checklist can hold up to 25 items, with up to 80 characters in each item. That is a ceiling, not a target. If the recipient has to scroll through a miniature project plan, the Ping is carrying too much.

Attach the checklist

  1. Open the Room in the Ping tab.
  2. Start a custom Ping.
  3. Open the attachment area and choose Checklist.
  4. Enter the first item, then use + Add item for each additional step.
  5. Add a short Ping message that names the moment, such as “Studio closed.”
  6. Review the recipients and send.

After the Ping arrives, a recipient can choose View checklist, then tap an unfinished item. The progress count updates for the shared checklist, and PingRoom shows who checked an item.

Checking is one-way. Once an item is checked, it cannot be unchecked. That makes a tap a clear shared event, but it also means the checklist is a poor place for tentative choices or work that regularly reopens.

Use observable items

Imagine two people closing a shared studio. An illustrative Ping might say Studio closed and carry three items:

  • main desk cleared;
  • lamp switched off;
  • keys returned to the tray.

Each line describes something a person can actually observe. “Handle the studio” is too broad. “Be careful” is advice, not a checkable step.

Two approved PingRoom avatars finish a three-item closing checklist beside a key tray while Pingo watches the final tile move into place.

Pingo the Pigeon, PingRoom's official mascot and fictional Chief Marketing Officer, has taken up a position beside the keys. In this example he is editorial scenery: he cannot see the Room, check an item, send a Ping, or certify that the studio is secure. The people doing the work remain responsible for it.

Know who can check an item

The checklist state belongs to the Ping, so eligible recipients see the same completed items. PingRoom also attributes each completed item to the person who checked it.

Some viewers can be read-only. For example, a public broadcast audience does not become a task team merely by receiving a Ping. If the app says that only the people the checklist was sent to can check items, treat that as a recipient boundary—not as an error to work around.

Before relying on a checklist, send a harmless test in the actual Room and confirm that the people expected to complete items can do so.

Apple's own guides show how Notes checklists can be reordered, reset, and shared, and how shared Reminders can assign work and notify collaborators. Those are useful distinctions: choose a PingRoom checklist when the list should stay short and travel with the signal.

If a checklist is read-only or missing

Check these boundaries in order:

  1. Confirm the iPhone app is on version 1.6 or later.
  2. Confirm you are creating a custom Ping in a Room where you can send.
  3. Keep the checklist within 25 items and 80 characters per item.
  4. Confirm the viewer is an eligible recipient, not only a public subscriber.
  5. If someone else already checked an item, remember that it cannot be reopened.

The broader PingRoom 1.6 guide covers the rest of the release. If the real need is simply to notify a group once, start with the group notification setup guide instead of adding a checklist by habit.

Open PingRoom Rooms and test one three-item checklist in a low-stakes Room before using it for a real handoff.
