How to Send a Saved Ping With Apple Shortcuts

Choose one PingRoom Room and one saved Quick Ping in Apple's Shortcuts app, test it, and put the exact action where you need it.

A PingRoom avatar places one terracotta cue tile into a three-slot tray while Pingo inspects the choice.

To save one repeatable PingRoom action in Apple Shortcuts, create a shortcut with PingRoom's Send Ping action, choose one Room and one saved Quick Ping, then run a harmless test. Choose a Quick Ping that sends without asking for a link, location, file, or other extra detail.

The result is a named Apple shortcut for one exact Room-and-Ping pair. You can run it from the Shortcuts app, and after it works, place it on another Apple surface such as the Home Screen or a supported iPhone's Action Button.

Prepare the Ping in PingRoom

Install or update PingRoom on the iPhone, sign in, and open the app once so the current Room catalog is available to Shortcuts. Then choose:

  • a Room where your account can send;
  • a saved Quick Ping with wording the Room already understands; and
  • an action that needs no extra input when tapped.

For a household Room, On my way is a better rehearsal than an urgent or safety-critical message. The same method works for a team Room with a routine signal such as Doors open.

If the message changes each time, use Send a Custom Ping with Siri instead. This guide is for wording already saved as a Quick Ping.

Build the shortcut

Apple's guide explains that a third-party App Shortcut can be added to a custom shortcut. In the Shortcuts app:

  1. Open the sidebar and find App Shortcuts.
  2. Choose PingRoom.
  3. Find Send Ping, open its options, and choose Use in New Shortcut.
  4. Set Room to the intended PingRoom Room.
  5. Set Ping to the saved Quick Ping you want this shortcut to send.
  6. Rename the shortcut so the destination and action are obvious, such as Ping Home: On my way.
  7. Choose Done.

Apple's current custom shortcut guide recommends naming the shortcut, adding its actions, and testing it in the editor. A clear name matters here because running the shortcut sends a real Ping; it is not only a preview.

Run one harmless rehearsal

Tell the people in the Room that a test is coming. Then:

  1. Open the new shortcut in the editor.
  2. Check the selected Room and Quick Ping.
  3. Run the shortcut once.
  4. Wait for PingRoom's success result.
  5. Open the Room and confirm that the expected Ping appears in its history.
  6. Ask one intended recipient to confirm what reached their device.

A PingRoom avatar presses one unmarked rehearsal button while Pingo watches a single arrival token beside a brass bell.

Pingo the Pigeon, PingRoom's fictional Chief Marketing Officer, has inspected the one-token result and contributed no additional automation. He cannot choose the Room, run the shortcut, or send on anyone's behalf. The person configuring the iPhone owns every choice.

A successful rehearsal proves the Room-and-Ping selection for that device at that moment. It does not guarantee that every recipient's phone will present every future notification; Focus, notification permissions, connectivity, and device state can still affect display.

Put the tested shortcut where you need it

Choose the surface only after the shortcut works:

NeedBest fit
Keep the exact saved action in the Shortcuts collectionRun the named shortcut in Shortcuts
Put the exact action on the Home ScreenAdd the tested shortcut to the Home Screen
Use a hardware button on a supported iPhoneAssign it under Settings → Action Button → Shortcut
Send the first eligible Quick Ping from one RoomUse PingRoom's Control Center control
Trigger the exact action with a physical tagUse the NFC shortcut guide

Apple says the Action Button shortcut option is available on supported iPhone models. The shortcut itself is still useful without that hardware: keep it in Shortcuts or add it to the Home Screen.

If a saved shortcut stops working

PingRoom rechecks the current account, product policy, Room permission, and saved action when the shortcut runs. It does not silently fall back to a different Room or Ping.

Check these states:

  • PingRoom asks you to sign in: open the app and sign in on the same iPhone.
  • The Room is unavailable: open PingRoom, refresh the current Rooms, and confirm that you still belong and can send.
  • The Quick Ping is unavailable: confirm that it still exists in that Room, then select it again in the shortcut.
  • The Ping needs more detail: choose a no-input Quick Ping. Link, location, photo, file, and other input-requiring actions belong in the app.
  • The action appears stale after an account switch: edit the shortcut and choose the Room and Ping from the current account.

Create or review the destination in your PingRoom Rooms, save one low-stakes Quick Ping, and test the shortcut before putting it on a faster surface.
