**For a recurring coworker carpool, create one private Room and save four pickup signals: Leaving in 5, At pickup point, Running late, and Ride changed.** Agree on exactly when each signal becomes true, send only while safely parked, and correct a stale update with a new time. The group gets a clear state without sharing a continuous map.

This guide is published by PingRoom. It is for coworkers who have already arranged the ride. If you need rider matching, route planning, automatic arrival detection, or live ETA, use a specialist carpool product instead.

## Pick the tool that matches the job

| What the group needs | Better fit |
| ------------------------------------------------------ | ----------------------------- |
| Four repeatable states for a known group | A private PingRoom Room |
| Rider matching, recurring routes, or automatic arrival | A specialist carpool app |
| Traffic-adjusted arrival time | A navigation or live-ETA tool |
| Discussion about an unfamiliar change | A call or ordinary group chat |

That boundary matters. [Scoop's help center](https://support.scoopcommute.com/hc/en-us/articles/115015746247-How-can-I-contact-my-matched-Commuter) describes contact and quick late messages between active matched commuters. [OMW's App Store listing](https://apps.apple.com/us/app/omw-on-my-way/id6768796616) describes recurring routes, live ETA, and automatic arrival. [Liftango's help center](https://support.liftango.com/en/support/solutions/articles/43000777475-what-notifications-will-i-receive-for-my-carpool-and-parking-reward-) covers matching, invitations, cancellations, reminders, and trip-state notifications in a managed carpool system.

Those are useful when the software needs to manage the ride. PingRoom fits the smaller question: which agreed pickup state is true right now?

## Set up four pickup signals

Create a [private Room](/blog/create-private-alert-group) for the regular driver and passengers. Share the invite only with that group, check the member list, and send one practice Ping before relying on the Room for a real pickup.

These four Quick Pings fit the free plan:

| Quick Ping | Send it only when… | What everyone should do |
| ------------------- | ---------------------------------------------------------------------- | -------------------------------------------------------------------- |
| **Leaving in 5** | The driver is safely stopped and expects to depart within five minutes | Passengers finish up and head toward the agreed exit |
| **At pickup point** | The car is parked at the exact agreed location | Passengers leave the building and look for the known car |
| **Running late** | The previous pickup time is no longer reliable | Wait for a custom Ping with the replacement time |
| **Ride changed** | The driver, vehicle, pickup point, or ride itself has changed | Stop using earlier assumptions and check the agreed fallback channel |

Do not use **At pickup point** to mean “one block away” or “circling the building.” The useful distinction is physical: the driver is parked at the agreed place.

Avoid putting a home address, license plate, access code, or passenger phone number in a lock-screen message. The people in the Room should already know the pickup point and vehicle.

## Use a correction that replaces the old time

**Running late** is incomplete on its own. Follow it with a custom Ping that gives the new estimate and says which earlier update it replaces:

> New pickup 18:20. Ignore the 18:00 plan.

If the estimate changes again, send another complete correction. Do not make passengers reconstruct the latest plan from three partial updates.

For a one-off journey where the time matters more than the fixed states, use the separate [manual ETA workflow](/blog/share-eta-without-live-location). For several cars travelling together, use the [car-convoy setup](/blog/car-convoy-communication).

## A worked office pickup

Here is an illustrative sequence for three coworkers. It is an example, not a customer story or a delivery guarantee.

1. At 17:55, the driver is still parked and sends **Leaving in 5**.
2. At 18:00, road access changes. The driver remains stopped, sends **Running late**, then sends **New pickup 18:15. Ignore 18:00.**
3. At 18:14, the driver parks in the agreed visitor bay and sends **At pickup point**.
4. If nobody appears after five minutes, the driver calls the designated passenger. Silence in the Room means the state is unknown, not that everyone saw the Ping.

_AI-generated editorial illustrations feature Pingo the Pigeon, PingRoom's fictional mascot, and PingRoom avatars. They are not app screenshots._

[Pingo, our fictional Chief Marketing Officer](/Pingo), has no private-Room access and sends no pickup updates. In the illustration, his only contribution is the same half-lidded stare reserved for a driver who says “outside” while still searching for the building entrance.

## Decide the fallback before the first ride

Write down three rules with the group:

- **No response:** after five minutes, call one named passenger. Do not keep sending louder Pings.
- **Correction:** every changed time includes the new time and names the old plan to ignore.
- **Cancellation:** send **Ride changed**, then confirm the replacement plan by call or chat.

Push delivery can be affected by connectivity, device permissions, operating-system behavior, or a muted Room. PingRoom is an attention signal, not proof that a person saw it, that a driver is authorized, or that a car is safe to enter.

The driver should never interact with a phone while the vehicle is moving. Send an update before departure or after parking safely and legally. Follow local law and the group's normal safety arrangements.

For your next recurring office ride, [get PingRoom](/i), create one private Room, and practice the four states while everyone is still standing together.
