# How to Send Apartment Building Notices Without Another Group Chat

## The building chat has two opposite failure modes

Some residents want a shared channel for power outages, disturbances, or items being given away—but do not want to be pulled into another group chat. ## Give each channel one job

## Set up a private, admin-only room

Start with one room for one building. Use a specific name such as **Maple House — Notices**, not a broad label such as **Residents**.

1. **Create a standard private room.** Private rooms are unlisted and joined through their invitation.
2. **Turn off the setting that lets everyone trigger Pings.** The owner and admins can still send; residents remain members who receive.
3. **Make at least two building staff members admins.** One person's phone should not be the only way to send a notice.
4. **Add one to four quick actions.** Keep the set small enough that every action retains a stable meaning.
5. **Share the invitation through a controlled channel.** Put the QR code on an access-controlled noticeboard or send the link through the tenancy email or resident portal.

## Make every action describe a real state

A building notice should answer three things on the lock screen: **what changed, who it affects, and what happens next**.

Use a custom Ping for uncommon events instead of adding a button for every possible problem. Do not put door codes, alarm instructions, resident schedules, medical information, or detailed occupancy data in notification text; lock screens are visible surfaces.

Reserve the strongest sound and urgent treatment for the smallest class of notices. If every parcel update is urgent, the lift outage will eventually sound ordinary too.

## Do not mistake one response for a roll call

A room Question resolves on the **first valid answer**. Use it for **Can someone meet the plumber at 15:00?** Do not use it as a resident survey, election, or way to collect one answer from every apartment.

A required acknowledgement also closes when the first eligible recipient acknowledges. Use it to show that someone has taken ownership of a task, not to prove that every resident read the notice.

Keep formal votes, consent, delivery records, and compliance evidence in the system responsible for them. A push is an attention layer, not a legal ledger.

## Treat the invitation like access

Joining a private room by code, link, or QR is intentionally simple. When no room password is set, possession of that invitation is enough to join. That means the building should:

- share the invitation only through resident-controlled surfaces;
- review the member list periodically;
- remove former residents and contractors who no longer need access;
- avoid printing the code where the general public can photograph it; and
- replace a broadly exposed invitation where the product supports it.

“Private” here means unlisted and membership-scoped. It does not mean end-to-end encrypted, anonymous, or serverless. If a notice contains information that should never appear on a third-party server or lock screen, do not send it as a Ping.

## Keep official and emergency channels intact

Building rules and local law may require paper delivery, email, a portal record, or notice within a defined period. Keep those channels. PingRoom can draw attention to the operational moment, but the authoritative copy still belongs in the required channel.
